The Invisible Upgrade and How AI Is Rewiring Workflows, Sales, and Execution

The conversation about AI often comes down to one thing: productivity.

Artificial intelligence tools have empowered us to do a lot of things faster, and often with less oversight. They’ve cleared the human bottlenecks, automated tedious tasks, and generally made our work more efficient. But leaders who are most effectively using AI have discovered that it’s about more than just speed. It’s also about smarter operations.

Founders and trailblazers from the Dreamers & Doers community are taking artificial intelligence a step further, using fresh technology to build new ways of operating, selling, and executing that aren’t just faster. Here, they share the specific ways in which AI has improved their workflows and benefitted their businesses in the process.

AI Knows When to Sell

When used to its full capability, AI has an expert handle on the market. As a result, it can give strategic founders market intelligence and, more importantly, a real timing advantage.

Lauren Foundos, the president of sales and partnerships for Echelon Fitness, uses artificial intelligence to monitor industry signals, such as a competitive app’s launch or updates. These changes often indicate the start, renewal, or expiration of a contract, offering valuable information to the Echelon team.

“That insight allows our sales team to approach operators precisely when they are most likely to evaluate new solutions, dramatically improving timing, conversion rates, and deal velocity,” Foundos says. “We also leverage AI to run instant competitive analyses, something that previously required hours of manual research. AI allows us to quickly map feature gaps, pricing differences, and positioning so our sales team can proactively address objections and confidently combat competitive rebuttals in real time.”

External signals with the power to inform key internal decisions are out there for all businesses and industries. It’s just a matter of synthesizing them and knowing how to make that insight count. AI is up for the job and can help founders show up when buyers are ready.

AI Turns Conversations Into Conversion Systems

With the right tools, information gleaned from sales calls can be transformed into scalable intelligence. AI can bridge the gap between sales and marketing, ensuring that every touchpoint reflects the actual voice of the customer based on real interactions.

“I embed AI into my sales process by analyzing transcripts from discovery calls and asking it to identify recurring pain points, objections, and buying triggers across conversations,” says Jasz Joseph, founder of Jasz Rae Digital. “Those insights shape my marketing messaging, LinkedIn content, and sales conversations so they mirror the exact language prospects use. As a result, my content converts at a higher rate because prospects feel immediately understood. The conversation moves to sales much faster.”

AI Automates Workflow to Reduce Cognitive Load

There’s real value in exploring artificial intelligence’s many functions and watching our to-do lists shrink with the help of technology. These automations remove mental overhead, freeing up space for leaders to reallocate time to more meaningful tasks.

Catherine Valega and her team at Green Bee Advisory, for example, use an AI notetaker to curate recaps for clients in the CRM. Clients get quick access to follow-up tasks and the customized strategies that have been designed for them, leaving nothing to fall through the cracks.

“It also allows us to concentrate 100% on client needs, goals, visions, and values, since we don’t have to frantically take notes,” Valega says. “I’m sure this is just the beginning of what the technology will allow us to do. I’m anticipating even better ROI and even more time freed up to spend quality time with our clients.”

WeNatal co-founder and CEO Ronit Menashe reports similar benefits to using AI, specifically Wispr Flow, for streamlining operations.

“I use it across every single touchpoint in my day, including emails, texts, AI prompts, and content,” Menashe says. “When typing is no longer the bottleneck, the quality of your thinking and communication goes up without adding time to your day. That compounding effect across hundreds of small interactions each week is something most founders seriously underestimate.”

AI Replaces SaaS With Founder-Built Systems

For too long, founders have had to choose software from what was already available on the market, even if it didn’t actually address their needs (or was way out of their budget). Thanks to AI’s incredible power to build internal tools (CRMs, investor trackers, feedback systems, and more), those limits are a thing of the past.

The team at Moola Money used Claude Code to quickly develop these tools, all of which are connected to user feedback forms to calculate key satisfaction metrics. These developments replaced several costly SaaS subscriptions and let the company iterate in hours instead of weeks.

“For an early-stage startup, the ability to build exactly the tools we need has dramatically reduced costs and increased operational speed,” says co-founder and CEO Linda Du.

AI Accelerates Creativity and Execution

By now, we’ve established that artificial intelligence offers more than just speed, but that doesn’t mean founders take efficiency for granted. With new technology on their side, savvy leaders have identified opportunities to compress the path from concept to execution.

“Creative teams need AI workflows that generate design drafts that can then be edited by a human, and in our platforms of choice,” says Evan Sargent, founder and CEO of Leap_year. “Available tools aren’t quite there yet. We’ve created custom tools and workflows that take our prompt straight to a workable design file in Figma and Google Slides. This has been a game-changer for our design operations.”

Tavlin Consulting founder and CEO Allison McMillan has found similar ways to put AI to work. Using Claude, she’s built dedicated AI projects for each area of her business: marketing, social media, proposals, blog posts, business strategy, and more. Each one is loaded with the specific context, examples, and guidelines needed for that task.

“Instead of starting from scratch every time, I can execute quickly because the AI already knows my voice, the materials I’ve developed, my clients, and my goals,” McMillan says. “The measurable shift is speed. Work that used to take hours now takes minutes, which means I spend more time on clients and less time on content production.”

AI shifts the nature of creative work to refinement, giving leaders the chance to perfect their final product without slowing down operations.

AI Replaces Overwhelm With Clarity

“I use AI to clean, organize, and synthesize large spreadsheets of ecosystem data, funders, founders, partners, and opportunities so I can quickly spot patterns and strategic connections,” says Charney Robinson-Williams, founder of Noire Impact. “What used to take hours of manual sorting now takes minutes, freeing up significantly more time for relationship-building and strategic work with founders.”

Whether founders are solopreneurs like Robinson-Williams or oversee large teams of employees, AI’s wide range of capabilities can drastically simplify daily operations. Reputation consultant Kate Haranis likes to think of artificial intelligence as a way to do less, but more effectively.

“By programming an agent with my business plan and goals, personal workstyle, and common bottlenecks or points of friction in my work life, I now have a tool that goes beyond managing my to-do list and actually helps tell me what not to do,” she says. “It also tells me where to cap my time and energy so that trying to do everything doesn’t get in the way of focusing on the right things.”
